AI MEETINGS • TRANSCRIPT • TASKS

Don’t lose what was said in the meeting: summary, decisions and tasks tracked in one panel.

In the system we built for the management of a construction company, meetings are recorded in the browser. When the meeting ends, AI transcribes the audio and extracts the summary, decisions and tasks. Tasks land in a tracking list and on the dashboard, where the team checks and follows them up.

SCOPE & CAPABILITY

Don’t let decisions and assigned work be forgotten once the meeting ends.

Who was going to do what, and by when? When notes are scattered, that question gets pushed to the next meeting. The system records the conversation, puts decisions and tasks in writing and keeps follow-up in one place.

DS.01

Recording that survives interruptions

Recording runs in the browser. If the internet drops, recording continues; audio segments are stored on the device first and sent to the server once the connection returns.

DS.02

Transcript split by speaker

When the meeting ends, the audio is transcribed. Speakers are separated not by name but by labels such as Speaker A and Speaker B.

DS.03

Summary, decisions and follow-up items

From the transcript, AI extracts the summary, key points, decisions with timestamps and follow-up items left for later.

DS.04

Tasks with owners and due dates

Tasks come with their type, owner, due date and source sentence. Expressions such as "Wednesday" are converted into calendar dates based on the meeting date.

DS.05

Task tracking and management dashboard

Tasks can be ticked off, with notes and files added. The dashboard shows open items, items due this week, overdue work and progress by company.

DS.06

PDF and Word reports

The summary, decisions, task statuses and activity history can be downloaded as PDF or Word. The transcript can be attached to the report on request.

FROM MEETING TO FOLLOW-UP

Work starts when the recording ends: transcript, report and task list are prepared in one flow.

Each meeting has its own task list and activity stream. Who completed which task, who added a note or made an edit: everything is logged with the person and the time.

01

Open the meeting and record

The meeting name and language are chosen and recording starts in the browser. Pause, a timer, an audio waveform and a microphone warning during long silences are on screen.

02

Audio is transcribed

When the meeting ends, the system checks that all segments have arrived. A speech recognition service turns the audio into a timestamped transcript split by speaker.

03

AI produces the report

The language model is instructed to rely only on what was said. It extracts the summary, decisions and follow-up items, and lists tasks with their source sentence.

04

Your team checks and follows up

Tasks are moved to the meeting’s list. Your team compares them with the recording, corrects and completes them; the dashboard and reports show the current status.

DELIVERY MODEL

Design, software and business outcome under one delivery discipline.

01

We listen to how you run meetings

Together we decide which meetings will be recorded, which languages are spoken and what you want to see in the reports and tasks.

02

Setup and data location

We set up the panel, the recording devices and the users. Where the data is kept and for how long is settled with you in the project.

03

Recording consent and review rules

Together with you, we put in writing how participants are informed before recording and who reviews the reports.

04

First meetings and follow-up

We review the output of the first meetings together, make the necessary adjustments and add your own logo to the reports.

HUMAN REVIEW AND DATA

AI prepares the report; your team decides what is correct.

  • The tasks AI extracts are suggestions; your team compares them with the recording and corrects, completes or deletes them.
  • Participants are informed before recording starts; recording permissions and data retention periods are decided with you.
  • Audio goes to cloud AI services to be transcribed, and text to be summarised; the services and the data location are decided in the project.
  • Speech recognition and summaries are not error-free; each report comes with a notice that it was generated automatically and needs to be checked.
  • Recordings, reports and task history belong to your company; you can download reports as PDF or Word at any time.
FREQUENTLY ASKED QUESTIONS

AI Meeting Tracking and Summaries: Common questions

Does the system recognise speakers by name?

No. Different speakers are separated in the transcript, but they carry letter labels instead of names; the system does not recognise who is speaking from their voice. If a task’s owner was named in the meeting, it goes into the report. If not, AI is instructed to write "Not specified" rather than invent a name; your team fills in the missing information.

Is the conversation shown on screen during the meeting?

No, we do not offer live captions. During the meeting, only the recording is made; a timer and an audio waveform are shown on screen. Transcription and report preparation start when the meeting ends, and the report opens in the panel when it is ready.

How far can we trust the tasks AI extracts?

The report is an aid; your team has the final say. The screen states that the report was generated automatically and may contain errors. Decisions and tasks come with the timestamp from the conversation, and tasks also include the source sentence. Your team compares them with the recording, corrects or deletes them, or adds new tasks by hand; every change is recorded in the activity stream.

Where are recordings kept, and what should we watch for under KVKK (Türkiye’s data protection law)?

Participants must be informed before recording starts and, where required, their consent obtained. The cloud services used for speech recognition and summarising may run abroad; in that case, the KVKK rules on transfers abroad also apply. Before setup, we decide with you which services will be used, where and for how long the data is kept, and the steps needed for the transfer.

Can we connect our files to the same system?

Yes. This system also has a file module that uses the same login as the meeting module. Files in selected folders are transferred to the server at regular intervals while the device is on and connected, and previous versions and deleted files are kept in separate sections. Files are viewed read-only and downloaded from the panel.
