Visitor Management System: Check-In and Check-Out with KVKK Consent Records

Everyone who comes through the door is registered, safe and traceable.

A visitor management system records each visitor's details, the person they are visiting, KVKK consent, check-in and check-out times and whether they are still on site. YazSis KurumsalPortal's Visitor Management module runs this flow digitally from reception to exit, notifies the host automatically and lists the visitors inside in real time.

CORE CAPABILITIES

Bring control into the system with Visitor Management.

Every step is traceable with its owner, time, status and activity history.

01

Fast visitor registration

Reception registers each visitor and their host digitally instead of in a paper logbook, and entry starts once KVKK consent is obtained.

02

Live list of people on site

Visitors still checked in appear on a live list, so in an emergency security sees on one screen who is on site.

03

Automatic host notification and reports

The host employee is notified automatically when their guest arrives, and visit records, reported with time spent inside, can be exported as XLSX.

FREQUENTLY ASKED QUESTIONS

Visitor management system: frequently asked questions

How do we collect KVKK consent from visitors?

In YazSis KurumsalPortal's Visitor Management module, KVKK consent is a registration step: the visitor is recorded, consent is obtained, the host is notified and entry begins. Consent is stored with the visit record, so you can check it later. Your privacy notice text should follow your own KVKK assessment.

Can we see who is on site during an emergency?

Yes. YazSis KurumsalPortal's Visitor Management module shows visitors who have checked in but not yet checked out on a live list of people currently inside. During an evacuation or emergency, reception and security use this list to see who is on site and whom each visitor came to see.

Is the employee being visited notified?

Yes. In YazSis KurumsalPortal's Visitor Management module, once the visitor is registered and consent is obtained, the host employee receives an automatic notification. The host learns in time that their guest has arrived, so visitors are welcomed faster at reception.

Where are visitor records stored?

YazSis KurumsalPortal runs on your own server, so visitor records and KVKK consent records are also kept on your organization's own server. Role-based permissions determine who can see these records, and the visit history can be exported as an XLSX report.
