SahaSesi AI:The site writes on WhatsApp, AI turns it into records
SahaSesi AI is an AI-assisted construction site logging product built for contractors. Foremen and crew leads send text, voice messages and photos to a single WhatsApp number; the AI sorts each message into work log, timesheet, material request, defect and incident records (including occupational health and safety, OHS). The office checks and approves in the panel, and managers receive the site report as a PDF every evening.
Pilot programLaunching through a pilot program with the first construction sites.
Ten-minute setup. No learning curve for site crews.
Your team doesn’t need to learn a new program; the WhatsApp they use every day is enough. The only thing that changes is that messages now turn into records.
01
Add the site and the team
Open the site; enter the name and mobile number of the foreman and subcontractor leads. Each of them gets a short welcome message on WhatsApp.
02
The site writes on WhatsApp
A photo, a voice message or a short note. The message is sorted by type and answered with “Logged”; if it was misunderstood, the foreman corrects it.
03
The office checks
Records line up in the panel by type; those that can’t be confirmed land in the “awaiting review” list. Once the site chief approves, the daily report is locked.
04
The report comes to you
Every evening a single PDF with a section per site goes to managers by WhatsApp and email; the monthly timesheet downloads to Excel.
FIVE RECORD TYPES
Everything that happens on site, in its place.
Messages are sorted into five record types; the lists and reports the office needs come out of them automatically.
Work log
“Column formwork on the 3rd floor of Block B is finished” is added to the daily report with block and floor details.
Timesheet
“Kaba crew 12 people, rebar fixers 4 people half day” is logged per person or per subcontractor crew; half days and overtime are tracked separately.
Material requests and deliveries
“We need 20 m³ of concrete tomorrow” becomes a request; when the delivery note photo arrives, a delivery record is opened.
Defect list
A defect with a photo is opened against the responsible subcontractor and closes when the closing photo arrives.
Incidents and OHS
Work accidents, work stoppages and inspection visits are logged separately; an OHS incident appears in red at the top of the evening report.
IN THE OFFICE’S HANDS
The message stays on site, the record reaches the office.
Records can be corrected, approved and exported; every change leaves a trace.
Voice messages and photos
Voice messages are converted to text and photos are attached to the record; consecutive messages from the same person are processed together.
Read-back and correction
Each record is read back to the foreman as “Logged: …”; when they write “no, it was 10 people”, the record is corrected.
Awaiting-review list
A message that can’t be confirmed or processed lands in front of the office; no record is silently lost.
Daily report and approval
The day’s records line up in the daily report automatically; once the site chief approves, the report is locked and only a manager can make later changes.
Evening report (PDF)
One page per site; it reaches managers by WhatsApp and email every evening, and past reports stay in the panel.
Excel timesheet
The monthly timesheet downloads to Excel by person and subcontractor, day by day, with half days and overtime.
Timesheet reminder
If a site’s timesheet hasn’t arrived by the reminder time, its foreman gets a reminder on WhatsApp.
Weather
The daily report and PDF are prepared with the site’s weather for that day.
OFFICE PANEL
A message arrives, the panel fills itself.
The screens are taken from the product’s live demo; records are color-coded by type.

DATA AND TRANSPARENCY
We tell you up front what is kept where.
Records, photos and audio files are kept in a data center in Frankfurt (Germany, EU); there is no hosting in Turkey at present.
The AI and speech-to-text services are in the US; transfers abroad are made with standard contracts under Article 9 of KVKK (Turkish data protection law).
Each company’s data is kept separate in the database; change history is retained.
The bot cannot read WhatsApp groups; a message in a group is recorded by sending it to the bot with “Forward”.
We recommend that your office checks timesheet and OHS records before using them.
The privacy notice and data processing agreement are ready.
FREQUENTLY ASKED QUESTIONS
Questions about SahaSesi AI
What is SahaSesi AI?
SahaSesi AI is a construction site logging product that uses AI to turn the text, voice messages and photos that foremen and crews send on WhatsApp into work log, timesheet, material, defect and incident records, giving the office a panel and managers a PDF report every evening. It is a YazSis brand.
Does the site crew have to install an app?
No. The WhatsApp they already use is enough. You add the person’s name and phone number in the panel, they receive a short welcome message, and after that they just write to that number.
Our team chats in a WhatsApp group. Are group messages recorded?
No, the bot cannot read messages in WhatsApp groups; the infrastructure WhatsApp offers businesses does not allow it. Send the message to the bot directly, or forward the group message to the bot with “Forward”.
What happens if there is no internet on site?
WhatsApp holds the message on the phone and sends it itself when the signal returns. The record is written to the day the message arrives; if the message contains an explicit reference such as “yesterday”, it is processed up to three days back at most.
Where is our data kept?
Records, photos and audio files are kept in a data center in Frankfurt (Germany, EU). Messages come in through WhatsApp (Meta); the AI and speech-to-text services are in the US. These transfers are made under Article 9 of KVKK (Turkish data protection law).
What if the AI records something wrong?
It can happen, which is why each record is read back to the foreman as “Logged: …” and the foreman can correct it. Records that can’t be confirmed land in the office’s “awaiting review” list; the daily report is locked after the site chief’s approval.
