Internal announcement examples: templates for promotions, holidays and urgent notices
Internal announcement examples and ready-made templates: promotion, holiday, policy change and urgent announcements, writing principles and read tracking.
A good internal announcement says in its first paragraph what is changing, who it affects, when it starts and what employees need to do. This article contains short template texts for promotions, holidays, policy changes and emergencies, five writing principles to check in every announcement, and a way to confirm who an announcement has reached using read receipts.
Imagine an announcement like this:
“Dear employees, please be informed that certain arrangements will be made in the coming period. We kindly ask you to take the necessary action.”
The reader cannot tell what has changed, whether it affects them or what they are supposed to do. The result is familiar: employees read the announcement and then ask their manager or HR, “so what do we do now?” Instead of reducing work, the announcement creates more. The hard part of writing an internal announcement is not finding the words but giving the right information in the right order. In this article we cover writing principles, four ready-made templates and a way to check that an announcement has really reached people.
An internal announcement is a formal written message, aimed at a specific audience, in which management or a department communicates a decision, change or piece of information to employees.
How do you write an announcement to employees? Five writing principles
- Say what is changing in the first sentence. Openings such as “We would like to inform you about an important matter” waste the reader’s time; get straight to the point.
- State who is affected. Does the announcement cover the whole company, or just one location or department? Anyone it does not concern should be able to tell from the first line.
- Give the date clearly. Instead of “in the coming days”, use something precise such as “from Monday morning”; give the start date and, if needed, the end date.
- State in one sentence what employees need to do. If action is required, say what to do, where to do it and by when.
- Name a person or channel for questions. If employees don’t know whom to ask, they ask everyone.
There is only one rule on length: the first paragraph must explain the announcement even if nothing else is read. Details, reasons and frequently asked questions go below it. The tone can be formal, but a formal tone written in short sentences and plain words gets read more than ornate phrasing.
Revised example — Subject: Canteen arrangements change from Monday. From Monday morning, the canteen will serve meals in two sittings; the sitting times are (time) and (time). The change affects head office employees. Please tell your line manager by (date) which sitting you will attend. If you have questions, you can write to the (department) team.
The difference between the vague text at the start and this one is not the amount of information but its order. In the second, the reader learns in the first sentence what is changing, in the second whom it affects and in the third what they need to do; there is no need to ask questions.
Common mistakes when writing announcements
- Leaving the subject line empty or vague. “Important announcement” says nothing; the subject line should carry the change itself.
- Squeezing several topics into one announcement. Each topic may have its own audience and date; separate announcements are easier both to read and to find later.
- Using abbreviations and internal jargon. A new starter or someone from another department may not understand the text.
- Hiding what employees need to do. An action mentioned in a single sentence at the end of the text is often missed.
- Taking a commanding tone. Explaining what is changing and why, instead of “You are strongly requested to take the necessary action”, encourages cooperation.
Company announcement template: a skeleton you can copy and adapt
| Section | What to write | Example wording |
|---|---|---|
| Subject line | States the change and its scope in a few words | New process for leave requests: portal only from Monday |
| First paragraph | What is changing, who is affected, when it starts | From (date), (topic) will be handled as follows. The change affects our (scope) employees. |
| Reason | Explains in a sentence or two why it is changing | Our aim is for everyone to be able to see what stage a request has reached. |
| Action | What employees need to do and the deadline | Please complete the (action) step by (date). |
| Transition period | Until when the old method remains valid | Requests received by the old method will still be processed until (date). |
| Contact | Person or channel for questions | If you have questions, you can write to the (department) team or your shift supervisor. |
Internal promotion announcement example
Subject: (Full name) appointed as (New role). — Our colleague (Full name) has been appointed to the role of (New role) with effect from (date). (Full name) previously worked as (previous role) in the (department) department and stood out for their work on (short contribution sentence). In the new role, (Full name) will be responsible for (area of responsibility) and will report to (line manager). From (date), please contact (Full name) with requests relating to (topic). We wish them every success in their new role.
What is most often forgotten in a promotion announcement is the effect of the role change on the workflow. As well as the congratulations, the announcement should answer the question “who do I write to about this from now on?”
Holiday and working hours announcement example
Subject: Working arrangements for (holiday name). — Our company will be closed from (date) to (date). Work will resume on (date) at (time). Shift departments will be informed of their working arrangements separately by their shift supervisors. For emergencies during this period, you can contact (person) on (phone). We wish everyone a peaceful and healthy holiday.
Policy change and emergency announcement examples
Policy change — Subject: New process for leave requests. From (date), leave requests will be accepted only through the portal. The change affects all employees. You can open your request from your phone’s browser and see your remaining balance and approval status in the same place. Requests received by the old method will still be processed until (date). If you have questions, you can write to the HR team.
Urgent announcement — Subject: URGENT — (topic). Employees in (department/location) must carry out (required action) from (time) today. Reason: (one sentence). For more information, contact (person) on (phone). A second announcement will be made through this channel if there are further developments.
There is one principle for an urgent announcement: write what needs to be done first and the reason after, and back the announcement up with a channel that reaches people who don’t use email, such as SMS.
Email, WhatsApp and noticeboards: when are they enough for announcements, and when not?
In a small team, email or a WhatsApp group is usually enough; everyone knows who is affected and the message arrives quickly. A noticeboard also works well on site or at the office entrance. As the company grows, these problems appear:
- Nobody knows whom the announcement reached, who read it and who did not see it.
- The announcement goes to everyone; people it does not concern tire of unnecessary notifications, and important announcements get missed.
- Field and production staff who have no company email address never hear about announcements sent by email.
- Messages scroll away in the group; a week later the announcement is hard to find and its history is lost.
- Publishing times are managed by hand; the announcement depends on one person’s working hours.
How do you confirm that an announcement has reached people?
The Announcements & News Management module of YazSis KurumsalPortal runs an announcement in five steps: you prepare the content, choose the audience, set the publishing time, send notifications and track read status. Each announcement is saved with a category and targeted by person, team, department or location. While it is published on the portal, it can also be sent by email and SMS; messages go out through the organisation’s own SMTP and NetGSM accounts. Read receipts and the distribution report show which of the targeted people the announcement has reached and who has not read it yet.
The timing of an announcement matters as much as its content. A message for shift workers should arrive before the shift starts; a message sent early in the morning to someone on leave or just off a night shift slips down the list unread. If you can set the publishing time in advance, you can prepare the announcement during working hours and schedule it for the time the audience is most likely to see it. When the report shows who has not read it, a short reminder or a word from the relevant manager is often more effective than repeating the same text.
To manage audience, timing and read tracking together, see the Announcements & News Management page.
Frequently asked questions
How do you write an internal announcement?
In the first sentence, say what is changing; then say who is affected, when it starts and what employees need to do. At the end, add a person or channel for questions. The first paragraph must explain the announcement even if nothing else is read.
Which channel should you use for announcements to employees?
A portal announcement suits lasting information that concerns everyone; SMS suits employees without a company email address and emergencies. The Announcements & News Management module of YazSis KurumsalPortal publishes via the portal, email and SMS.
Can you see who has read an announcement?
Yes. The Announcements & News Management module of YazSis KurumsalPortal tracks read status for every announcement and provides a distribution report, which shows which of the targeted people have read the announcement and which have not read it yet.
Can an announcement be scheduled for a later date?
Yes. In the Announcements & News Management module of YazSis KurumsalPortal, you set the publishing time after preparing the content and choosing the audience; the announcement is then published at that time via the portal, email and SMS.
What information should a promotion announcement include?
The person’s new role, the start date of the role, a short sentence about their contribution, their area of responsibility, the manager they report to and whom to contact about these matters from now on. Keep the congratulations short and state the effect on the workflow clearly.
