Why double bookings happen in dental clinics, and how to prevent them

How do two patients get booked for the same time in a dental clinic? The four sources of double booking and how doctor, unit and room locking prevents them.

Monday, 14:30. Two patients are waiting in front of reception for the same chair; both are holding an “your appointment is confirmed” message. In dental clinics this scene usually comes not from one person’s mistake but from the appointment being held in more than one place. The patient waits, the doctor’s schedule slips, and the team spends the rest of the day apologizing. And the problem grows during busy periods, that is, exactly when the clinic is booking the most appointments.

Double booking is when more than one appointment is given for the same time to the same doctor, unit or room. In this article we explain the causes of double booking and how it can be prevented, using Super Randevu.

The hidden cost of a clash

  • The patient loses trust. A patient who has received a confirmation and sees someone else waiting in the chair changes their view of how the clinic is run.
  • The doctor’s flow breaks. One slipped appointment delays all the ones after it; nobody can arrive on time.
  • The team is overloaded. Reception has to calm the waiting patient and at the same time find a new time for one of the two patients.
  • Word-of-mouth comments. Even a small hiccup, once it is told around the patient’s circle, shapes the first impression of the clinic.

Four typical sources of double booking

  1. Multiple channels. The phone, WhatsApp, Instagram messages and the notebook at reception all give out times at once, without looking at each other. The more channels there are, the greater the chance of a clash.
  2. A hand-kept calendar. In a paper notebook or a shared spreadsheet, when one person is writing they may not see what someone else has just written. Even the most careful staff member will often make the mistake.
  3. Two requests arriving at the same time. When an ad goes live, two people ask for the same time in the same minute. Two different people looking at the calendar both see the slot as open, and both reply “available”.
  4. Cancellations and postponements that are not updated. The appointment has been postponed but the old time stays in the calendar; or the freed time is written down in one place and still looks occupied in another.

Three conditions for preventing it

  • One calendar. All channels must take times from the same calendar. In Super Randevu the time is given from the real calendar, regardless of which channel the message came from.
  • Locking resources together. In a dental clinic an appointment is the occupancy not only of the doctor but also of the unit and the room. In Super Randevu the doctor, unit and room are locked together.
  • The rule lives in the database. If the clash warning is only a message sitting on the screen, two requests arriving at the same moment can both get through. In Super Randevu the clash rule is enforced at the database level; giving the same time to two people is impossible.

Unit and treatment duration in a dental clinic

In a dental clinic an appointment is not merely a row in the doctor’s calendar. The same doctor can work in different units, a unit can serve different doctors during the day, and long treatments such as implants do not fit between consecutive short appointments. Super Randevu’s dental template thinks this structure through from the start: unit and doctor, implant and treatment durations are part of the appointment engine. When the duration is set according to the treatment, the calendar holds the required resources at the same time for that whole duration. In such a structure, preventing double booking depends not on the team being careful every time, but on the system never giving the same time twice.

A cancelled time should not go to waste

A situation as damaging as double booking is a time that looks full but has in fact been freed. In Super Randevu a cancelled time is offered automatically to the patient on the waiting list. Reminders are sent with a calendar file; the patient can add the appointment to their own phone. In the calendar in the staff panel, confirmed, pending and temporarily held times appear in separate colors. A temporarily held time is a time set aside so that it is not given to someone else while the patient is deciding. The waiting list takes the job of filling the gap after a cancellation, by phoning people one by one, off the team; a freed time quickly produces value again.

A short test you can run in your own clinic

  1. Request an appointment for the same doctor and time by phone and by message at the same moment; check whether both channels reply “available”.
  2. Cancel an appointment and check whether that time shows as open on every channel.
  3. Request an appointment for a long treatment; check whether the unit and room are held for the whole duration.
  4. Try whether the appointment reminder can be added to the calendar by the patient.

If the result of this test is “everything works”, your current setup is sound. If it is not, the problem lies not in your employees’ attention but in the structure of the system; the solution lies not in an appeal for attention but in changing the structure. Repeating the test once a month also lets you catch new gaps that appear when the number of channels or employees changes.
