Internal messaging: separating business conversations from personal apps
What is corporate messaging software? How to keep one-to-one and group conversations, files and access control on record on the company’s own platform.
When a project manager leaves, they take with them more than their experience: the promise made about a delivery date, the decision agreed with a supplier and the drawings they shared all stay in the chat history on their own phone. Corporate messaging software is software that keeps employees’ one-to-one and group conversations, and the files and images they share, on record in a single company channel.
In this article we explain why it matters to separate business conversations from personal apps and how it can be done, using the Messaging Module inside YazSis KurumsalPortal.
Where do business conversations go in personal apps?
In personal messaging apps, business conversations are scattered across employees’ own accounts. Part of one topic is in one group, a half-finished decision is in another one-to-one chat, and the relevant file is in a third place. The company has no complete record; the record depends on the account of whoever holds it. Consider a team preparing a product launch: the design approval is on one person’s phone, the pricing decision is in another group’s chat and the final file is an e-mail attachment. Even if the launch goes well, pulling this information together afterwards is laborious. In daily life, this looks like the following:
- An employee who joins the project later cannot learn the history of the topic; they have no access to the old chats.
- To find the latest version of a file, the same question is asked to three people.
- When an employee or team changes, the conversations do not stay in the company’s memory.
- Who gets access to the conversations is under the control of the account owner, not the company.
A business conversation is a record that belongs to the work itself, not to whoever’s phone it sits on.
What does the Messaging Module offer?
- One-to-one and group conversations: an employee starts a conversation by choosing a person or a team. Project teams and managers coordinate the same topic in a single channel.
- File and image sharing: work files and images are shared inside the conversation and stay on record together with it; there is no need to scan through channels to find a file.
- Unread messages and notifications: the user sees their unread messages at a glance and gets notifications for new messages.
- Access control: only authorized people can access conversations; who can access the records is limited by permission definitions.
The module runs on the same user and permission infrastructure as the rest of KurumsalPortal and sits inside the portal on the customer’s own server. Employees use it from their phone browser and do not install a separate app. This matters especially for teams that do not work at a desk: an employee in the field or on a shift can also join a conversation from their phone.
The journey of a conversation
- Choose the person or team. Whoever is relevant to the topic joins the conversation.
- Start the conversation. One-to-one or group; the topic moves forward in a single channel, and the people with access to the conversation see the exchange.
- Share the file. A drawing, image or document stays inside the conversation and together with it.
- Send a notification. The other side learns about the new message and sees it on the unread messages screen.
- Keep the company record. Even if the employee or team changes, the business conversation stays in the company’s memory.
What to watch for during the transition
You do not need to move all conversations in a single day; the real issue is setting a clear rule about which topic is discussed where. A starting point that works in practice looks like this:
- Move project, team and management conversations to the module; leave personal apps for social chat.
- For every topic that requires a decision, open a group with the people concerned and reach the decision in that group.
- Share files inside the conversation instead of circulating them by e-mail.
- Keep the external channels you use for customer and supplier conversations separate; the module is for internal communication.
How do you know it is really being used?
- A new team member can reach the history of the topic from the relevant conversation and does not ask anyone “who posted that file?”.
- When an employee leaves or a team changes, the conversation history of unfinished work stays in the portal.
- Personal groups that discuss work are shrinking; topics that require decisions are moving forward in portal groups.
- Managers can see on record how a topic was concluded and in which conversation.
What is gained?
The expected gains fall under three headings: fewer scattered channels, preserved company memory and faster team coordination. These are not magic results; they appear as employees actually hold their business conversations in a single channel. That is why, instead of the whole company, starting with one or two teams where scattered conversations cause the most trouble makes it easier for the habit to take hold.

Frequently asked questions
How is corporate messaging software different from personal messaging apps?
In personal apps, business conversations are scattered across employees’ own accounts. The Messaging Module keeps one-to-one and group conversations, together with shared files, in the portal that runs on the company’s own server; access is controlled through corporate permissions.
Are conversations kept as a company record?
Yes. One-to-one and group conversations and shared files stay on record inside the portal. Even if an employee or team changes, business conversations are preserved in the company’s memory; who can access the records is limited by permission definitions.
Can files be shared in groups?
Yes. Files and images can be shared in one-to-one conversations and in team groups. Shared content stays in the record of the relevant conversation, and a notification is sent for new content.
Who uses the Messaging Module?
All employees, project teams and managers use it. Employees access the portal from their phone browser and do not need to install an app.
